A Day In The Life Of A Project Coordinator
Shania SamuelsWritten ByShania Samuels

Shania Samuels is a Project Coordinator at Propeller, ensuring seamless project execution and fostering strong client relationships.

Being a project coordinator at Propeller means embracing the unpredictable. No two days are alike—timelines shift, milestones move, and priorities can change in the blink of an eye. Budgets fluctuate, and client needs evolve rapidly. Yet, it’s this very unpredictability that fuels my passion for the role. Each twist and turn presents a new opportunity to learn and grow.

Morning

My mornings kick off with a familiar routine. Stepping out of Angel tube station, I swing by a local coffee shop for an iced oat mocha—an essential start to my day. Arriving at the office, the first order of business is our daily check-in for my first project. Here, we align on the current project status, address any blockers, and ensure everyone’s on the same page. This conversation is crucial for maintaining momentum and steering projects toward success. A few words of encouragement and some light-hearted banter set a positive tone, energising the team as we dive into the day’s tasks and priorities.

After a quick admin break, I switch gears to focus on a different project in its discovery phase. This initial stage is all about immersing ourselves in the client’s world—understanding their business, delving into their industry, and identifying opportunities for innovation and improving user experience (UX). I collaborate closely with the client and the project manager to pinpoint their needs, research inspiration sites, and brainstorm fresh ideas. The goal is to gather insights that will inform the design phase, ensuring our solutions are both creative and aligned with the client’s vision.

As I wrap up these meetings, a new email request arrives in my inbox, requiring prompt attention. Before joining Propeller as a project manager, I didn’t know much about content management systems (CMS). Now, handling CMS tasks is second nature. When an urgent email request comes in just before lunch, I can quickly jump in to help another team by updating a client’s website—adding content, writing alt text for images, or checking meta descriptions and titles.

Midday

Lunchtime offers the perfect opportunity to recharge. I often take a moment to step outside, enjoying the fresh air while engaging in prayer and reflection. Afterward, I take a leisurely stroll through Camden Passage, pretending to consider the numerous delightful lunch spots. Despite my best intentions to try something new, I inevitably find myself back at Amazon Fresh, drawn in by it’s convenience and the allure of a quick, no-fuss lunch.

Afternoon

Back at my desk, I reassess my To-Do list, marking off completed tasks and identifying pending ones. This is also an ideal time to check emails and touch base with teams via our Jira board, ensuring that ongoing developments align with client expectations. Our project team shares a large table, encouraging constant collaboration and spontaneous, off-topic conversations—debating the best yogurt flavours, unpacking the latest series, or sharing dinner recipes. These light-hearted chats keep the mood lively and strengthen our bond as a team.

After catching up and sharing a few laughs, I put on my headphones, queue up my favourite playlist, and dive back into the tasks at hand, meticulously verifying that all agreed-upon changes are implemented correctly and that the site functions as expected across various regions and devices.

Early evening

As the clock nears 5 p.m., I grab a cup of tea and some snacks from my bag—it’s time to wrap up the day’s work. At the end of each week, I prepare a written update for my clients, outlining our current position in the timeline, mitigated risks, and ongoing actions for both our team and the client. With spring approaching, the extended daylight provides a refreshing ambiance as I prepare for my commute home.
